 RULES & REGULATIONS OF 12TH RAJDHANI BOOK FAIR-2011
PARTICIPATION : Participation is open to all  Publishers, Distributors, Booksellers, Newspapers, Periodicals, Literary & Cultural Organisations, School, College, University, Tutorial, Study Centre, IT, Computor, Government Organisations, BankING/ iNSURANCE SECTOR/PSU/ NGO/ Associates and Organizations dealing  with  CD, Stamp, Map, Art, Chart, and any  other  study  materials, Food,Snacks food drinks, Icecream, Tea & Coffee etc.  
 
VENUE : The  12th Rajdhani Book Fair-2011  shall be organised at Exhibition Ground,Bhubaneswar for 12 days with  effect  from 01.12.2011  to 12.12.2011.  
 
TIMING : Every day From  2.00  PM  to  9.00 PM  
PUBLICITY : Publicity of the Rajdhani Book Fair shall be done through  Newspapers, Televisions. Cinema Slides,  Road Crossing Gates, Hoardings, Banners and  Posters only.  
 
PROTECTION : Private  Security  Guards  shall  be  deployed  round the clock to safe guard the Book Fair
Compound.  Police and  Fire  Brigade   shall  also  be  deployed  during  Book  Fair  time.
 
 
ENTRY : No entry fee for visitors. The  participants are required to  enter  30  minutes  before
the starting time  every day on production of gate pass.The vehicles carrying book packets  shall only be allowed to enter inside the  Fair within 1.30 PM to 2.30 PM.only.
 
 
STALL SIZE : 10  ft . X 10  ft.= 100 sft. for Single  Stall or multiple in size as per requirement.

FACILITY : 2 CFL lights, 2 side  Book Shelves, one  Sales Counter,2 Chairs  shall be provided to each   single book stall. In case of display stall wooden platform with carpet, front table and two chairs shall be provided.  
 
STALL RENT : Rs.5,500/- for each book stall and Rs.7,000/- for each display stall including all common facility.  
 
BOOKING : The  Application Form alongwith  FULL PAYMENT may be submitted in the BookFair  Office either in person or by regd.post/ coureer after publication of advertisement in the  daily newspapers or receiving booking form  by person / post / courier. The booking shall be  started from 05.8.2011(Friday). The last date for receipt ofapplication form is 30.10.2011.  No part payment shall be  accepted  at any case.  
 

PAYMENT :

Full  payment  of  the  stall  rent  should be  made  in Cash. In case of the publishers of  outside states, Bank Draft in favour of RAJDHANI BOOK FAIR  payable at Bhubaneswar shall be accepted.  
 

ACCOMODATION :

All stalls shall be accomodated within one  compound. The participants shall only display   their books inside their stalls. No encroachment of space in front of the stall shall be  allowed .  
 

ALLOTMENT :

Allotment of stalls shall be made  on the basis of seniority in booking & number of stalls   booked. However, the decision of the Book Fair  Commitee regarding allotment is final &  binding on all participants. No complaint against stall allotment  shall be  entertained.  
 

CONFIRMATION :

The  booking  shall be  effective from  the  date of realisation of payment. The confirmation letter shall be sent  within a week from the  date of realisation.Please  enquire  if confirmation  letter is not received in time  
 

CANCELLATION :

The  booking  may  be  cancelled  by the  participant  on  or before 11.11.2010 . No cancellation / alteration shall be allowed after expiry of the above date and the  Book Fair  Committee shall not refund the  stall rent  in such case or in case of absence of the  participant  in the fair or left during the fair period.The vacant stall shall  be declared  FREE   if not   occupied by the  participant  on the date of inauguration &  the same  may  be alloted to some  other party  as desired by the committee .  
 
POSSESSION : Possession  of  stall containing  more than 4 stalls  shall  only be  handed over before one     day & other stalls on 7.30 AM 0n 01.12.2011. No  subleting of stalls  shall be allowed in the book fair  
 
PROHIBITION : Participants are not permitted to use mike, loud speaker etc. However, they are allowed          to blow very slow music in the  stall without disturbing other stalls. But if complaint arises the permission shall be withdrawn without intimation to the above stall  
 
GATE PASS : 2  nos. of gate  pass  shall only  be  issued  to  each  stall  
PROFIT & LOSS : The Book Fair Committee  shall not be responsible  for any profit / loss in the business  or  damage  due  to  natural calamities / accident etc  
 

INSURANCE :

The  participants may  insure  their  stall  at  their own cost  if  they  feel  necessary.  
 

RIGHTS :

The  Rajdhani  Book  Fair  Committee  shall  have  the  right  to take any disciplinary  proceeding / action against any participant / visitor in the event of violation of rules &  regulations & breach of peace in the fair. The decision of the President of Rajdhani  Book Fair  in this matter is final and binding to all participants and visitors. The Book Fair  Committee reserves the right to change / alter its Rules  &  Regulations at any time when  necessary.  
 
DISPUTES : In case of any dispute, the decision of the President of Rajdhani Book Fair shall be final.  However,if not satisfied, may take shelter of the Civil Court, Bhubaneswar only.
